This policy describes how BrightDesk LLC, registered in Florida, United States, handles personal information when you visit brightdesk.ai, contact us about our work, or book an introductory call. In this policy, ‘BrightDesk,’ ‘we,’ and ‘us’ mean BrightDesk LLC.
Personal information means information that identifies you or can reasonably be connected to you. This policy covers our handling of website inquiries and bookings. It does not replace BrightBoard’s product privacy notice or the separate terms that apply when we handle information on a client’s behalf. Information we collect
The information involved depends on how you interact with BrightDesk. Please avoid sending passwords or sensitive customer records through an initial inquiry.
- Information you submit. Our booking form asks for your first name, last name, phone number, and email address. You can also enter additional information about your appointment. When you email us, we receive the details, message contents, and any attachments you choose to send.
- Call conversations. We may use recording or transcription tools to capture introductory call conversations. We inform all participants and obtain their permission before recording or transcription starts.
- Information sent by your browser. Loading the website and booking tools sends technical information to the providers delivering them. This can include your IP address, browser and device details, requested pages, referral information, and request times.
- Information from booking providers. When you use our embedded booking tool, the information you enter and the appointment details are passed through the booking provider so we can arrange the conversation.
How we use information
We use information in connection with the inquiry you make, the appointment you request, and the operation of this website.
We do not currently send newsletters, promotional emails, or promotional text messages to prospects.
Our booking form includes a separate checkbox about receiving company content through the contact details you provide. Reading this policy is not consent to receive promotional messages or to have a conversation recorded. Any activity requiring a separate notice or permission must be handled separately.
- Conversations and appointments. Respond to your questions, coordinate bookings and confirmations by email or phone, prepare for calls, and discuss whether our services fit your needs.
- Website operation. Deliver pages and booking tools, diagnose errors, and address misuse or security threats.
- Advertising measurement. Our customer-management system has workflows configured to send form-submission and certain booking events to Meta to measure responses to advertising.
- Business records and legal obligations. Keep relevant correspondence, respond to lawful requests, and address disputes or protect legal rights.
Information security
BrightDesk’s public website is delivered over HTTPS, which encrypts information in transit between your browser and the website. The booking tool also loads over HTTPS. Protection of information after submission depends on the systems and controls used to process and store it.
No website, email system, or storage service can guarantee complete security. Please contact us if you believe information you shared with BrightDesk has been exposed or misused.
Data retention
We have approved a planned retention limit of 12 months from the call date for prospect-call recordings, where retained, and full transcripts. Specific records may be kept longer where necessary for active client work or legal obligations.
For prospects who do not become clients, our planned retention limit for contact details is 24 months after our last meaningful interaction.
These deletion schedules are not yet implemented across the apps and systems we use. Records may currently be retained beyond these periods. Our internal team is responsible for coordinating call-record deletion. You can contact us to request deletion without waiting for a planned retention period to end. Retention in provider logs and backups depends on the applicable provider settings and practices.
Managing your privacy
You can ask about the information we hold about you or request access, correction, or deletion by contacting us below. Include enough detail to identify the inquiry or booking involved, but do not send a password or identity document unless we arrange an appropriate verification method with you.

Rights under applicable privacy laws
Your rights depend on where you live, the information involved, and the laws that apply to our activities. These may include access, correction, deletion, portability, restriction of processing, objection to certain uses, withdrawal of consent, and the right to complain to a privacy regulator. Some laws also provide opt-out or appeal rights in specified circumstances.
We may need to verify your identity and understand the request before acting on it. Exceptions may apply, including where a record must be kept to meet a legal requirement. If your request concerns information handled for one of our clients, contact that business so it can address the request under its own notice and responsibilities.
